Health and Safety

October 1, 2020

Due to the extended effects of the COVID-19 pandemic, including an increase of cases in Toronto and stricter gathering limits, we have decided to cancel this year’s in-person Pretty Heroes convention that was previously rescheduled to take place in November instead of our original dates in July.

We know that this is disappointing news and while we miss seeing everyone in person, unfortunately it is not safe at this time to run an in-person event with over 1000 people. We value this community too much to put our attendees, our dealers, our guests, and our team at risk.

We believe that cancelling the in-person activities for this year will help ensure the safety of everyone who normally participates in our events.

For this year, we will be running a FREE to attend, fully online event on November 28th to 29th, 2020. If you would like to contribute content to our Youtube channel for the online event or any other time, please contact us to discuss. We are actively looking for panelists/workshop leaders who can provide free content to our community.

Our next in-person event is scheduled for July 17-18, 2021 at the Japanese Canadian Cultural Centre in Toronto.

We are in the process of securing all our announced guests for next year in addition to securing guests and speakers for our online event this year.

We are moving over the hotel discounts for the Edward Village Hotel (please contact us if you need an update sent to you about this). If you reserved at the Toronto Don Valley Hotel, you will need to contact them to cancel your original reservation. We are confirming the discount code for new reservations for July 2021 which will be valid until 30 days before July 15, 2021. When the discount code is confirmed, it will be listed on our website.

Please note that all confirmed dealers should have received a separate email detailing options for deferring to the 2021 event, promotion options for the online 2020 event, and the process for refunds if needed. If you have an active dealer reservation or application and did not receive the email, please contact [email protected]

For attendees, if you have purchased any tickets to the 2020 event, your tickets will automatically be honoured for our new dates of July 17-18, 2021 with no action required on your part. Your eticket will automatically update.

If you prefer to receive a refund for any tickets purchased prior to October 1, 2020, please email us at [email protected] using the email from your order and referencing your order number to request a refund in writing before December 15, 2020. Tickets purchased On October 1, 2020 or later will be subjected to our standard refund policy as detailed on our website.

All payments for tickets processed via Paypal or Square have non-refundable transaction fees, but we can refund the remainder of eligible tickets on request as part of our temporary compassionate refund policy. Cash and etransfer payments are fully refundable. Please email us to confirm the amount for the refund if needed. If your payment was through our website within 90 days, we can send the refund back to you via Paypal. If it is longer than 90 days and cannot be sent back via Paypal, or was processed via Square or cash, then we can send you an etransfer to your preferred email address (Canadian bank accounts only). Please confirm where you want your refund to be sent if you are requesting one and the original method of payment doesn’t allow for refunds to be processed directly. If you do not have a Canadian bank account, please contact us for other options (please note that additional transfer fees may apply).

Please do not initiate a chargeback with Paypal or your payment card. We will absolutely honour all refund requests in as timely a manner as possible, but this may take up to three weeks to fully complete as money may need to be transferred twice. If there seems to be a delay in receiving your refund, please contact us for an update.

We understand that everyone has been impacted by the effects of this pandemic. This is why we are offering as compassionate a refund policy as we are able to. If you can defer your payments to our 2021 event, we would certainly appreciate that you do so in order to help with the longevity of this event. We do have additional expenses that will not be covered due to rescheduling and we are evaluating options to further minimize their impact.

We also realize that some people need to have their money returned as much as possible in order to deal with current expenses and we understand that need.

Pretty Heroes is a self-funded event and I am the only investor. Unfortunately we are not eligible for any kind of cancellation insurance that would cover our already incurred expenses or the fees lost from PayPal and Square transactions, which is why we can’t give those fees back. We hope that everyone can understand that we are doing the best we can at this time.

As I am working full time with my day job, and the event has no paid employees, Pretty Heroes is also currently not eligible for any government support. I encourage you to write to your local officials about support for volunteer-run community events as the lack of support makes it especially challenging for events like Pretty Heroes to continue long term and also impacts dealers (who are primarily local businesses), attendees, and guests. In our case, it also affects our non-profit venue. The community impact of cancelled events is farther reaching than event organizers, but the government has not offered any assistance specifically for live events to help them continue in the future.

If you would like to help us recover additional fees that have been incurred thus far and will be incurred through to the end of the year, then you can use any of our referral links listed on our website at www.prettyheroes.com/support-pretty-heroes in order to send us commissions that don’t cost you anything extra for things you may find useful. There is no obligation to use these links, but any commissions are appreciated and will be used for event expenses.

Existing volunteers will be contacted about helping with the online event and/or deferring to our next in-person event. For online activities, we are looking for volunteers to assist with moderating, technical issues, and social media promotion. Please email us at [email protected] if you would like to assist.

We will be continuously updating the list of confirmed dealers for 2021 on our website at www.prettyheroes.com/dealers and we will have an option for paid sponsorships/promotion on our website and social media for those interested.

For any other questions that have not been addressed in this statement, please contact me via email at [email protected]. Please do not send us instant messages on social media as we may miss them and be unable to respond to them adequately.

On behalf of my team, I hope that you are all staying safe in this challenging time. I wish you all success in the future and I hope that we will see each other again soon.

Sincerely,

Emily Gonsalves, Head Organizer

May 13, 2020

Due to the extended effects of the COVID-19 pandemic, we have decided to reschedule this year’s Pretty Heroes convention to take place November 28th to 29th, 2020 instead of our original dates in July. We believe that this will give us more time to prepare updated safety protocols, comply with government mandates for gathering restrictions, and ensure the safety of all attendees, guests, dealers, and crew at our convention.

We have secured all our announced guests for the new dates and we are waiting for details on moving over the hotel discounts for the Edward Village Hotel (please let me know if you will need an update sent to you about this). If you reserved at the Toronto Don Valley Hotel, you will need to contact them to cancel your original reservation. The discount code of SMERF can be used for a new reservation for November until 30 days before November 28th.

We know that this is not an ideal scenario for anyone, but we truly believe that rescheduling to this later date will give us a good chance to safely hold an event this year and give everyone the opportunity to connect with the community that we all value.

Because these new dates will be in the winter instead of the summer, we are aware that attendees, dealers, and volunteers may wish to not participate in a winter event.

Please note that all confirmed dealers and those who were on our wait list for this year should have received a separate email detailing options for deferring to the new 2020 dates, our 2021 event, or the process for refunds. If you have an active dealer application and did not receive the email, please contact [email protected]

For attendees, if you have purchased any tickets to the 2020 event prior to May 1, 2020, your tickets will automatically be honoured for our new dates of November 28-29, 2020 with no action required on your part.

If you have purchased tickets prior to May 13, 2020 and prefer to defer them to our 2021 event, please contact us at [email protected] using the email from your order and referencing your order number from our website and we will update our records to move your tickets to 2021 at no additional charge.

If you prefer to receive a refund, please email us at [email protected] using the email from your order and referencing your order number to request a refund in writing before August 1, 2020. The only exceptions to this will be made for US residents who are unable to cross the border for the new dates. If you are a US resident, please contact us by October 31, 2020 if you need a refund due to border crossing restrictions.

All payments for tickets processed via Paypal or Square have non-refundable transaction fees, but we can refund the remainder on request. Cash and etransfer payments are fully refundable. Please email us to confirm the amount for the refund if needed. If your payment was through our website within 90 days, we can send the refund back to you via Paypal. If it is longer than 90 days or was processed via Square or cash, then we can send you an etransfer to your preferred email address (Canadian bank accounts only). Please confirm where you want your refund to be sent if you are requesting one. If you do not have a Canadian bank account, please contact us for other options (please note that additional transfer fees may apply).

Please do not initiate a chargeback with Paypal or your payment card. We will absolutely honour all refund requests in as timely a manner as possible, but that this may take two to three weeks to fully complete as money may need to be transferred twice. If there seems to be a delay in receiving your refund, please contact us for an update.

As I am working full time with my day job, and the event has no paid employees, Pretty Heroes is also currently not eligible for any government support. I plan to write to my local MP about support for volunteer-run community events as the lack of support makes it especially challenging for events like Pretty Heroes to continue long term and support everyone impacted including our dealers, attendees, and guests.

If you would like to help us recover additional fees that have been incurred thus far and will be incurred through to the end of the year, then you can use any of our referral links listed on our website at www.prettyheroes.com/support-pretty-heroes in order to send us commissions that don’t cost you anything extra for things you might find useful. There is no obligation to use these links.

If you would like to help us by volunteering, or you need to update an existing volunteer application, please reach out to our volunteer coordinator at [email protected]

We will begin advertising all of our dealers confirmed for 2020 on our social media outlets soon. We will also be continuously updating the list of confirmed dealers for 2020 and 2021 on our website at www.prettyheroes.com/dealers

We will also be adding online content such as free panels and free workshops to connect with you all remotely. Please stay tuned for updates on our social media for when these will be scheduled and if sign-ups are required.

For any other questions that have not been addressed in this statement, please contact me via email at [email protected]. Please do not send us instant messages on social media as we may miss them and be unable to respond to them adequately.

March 14, 2020

Pretty Heroes will be continuing as scheduled this July.

All of us behind the scenes at Pretty Heroes are carefully monitoring the situation regarding the Novel Coronovirus (COVID-19) and making appropriate plans to ensure the safety of everyone at our scheduled convention on July 18-19, 2020 at the Japanese Canadian Cultural Centre.

We are working with the JCCC on developing plans to coordinate efforts for increased cleaning and safety messaging in event spaces.

Please feel free to read their statement here.

The safety of all attendees, dealers, guests, and event crew are of utmost importance to us. We will continue to monitor the situation regarding COVID-19 as it pertains to our convention and update you as needed.

We will be taking all appropriate precautions to ensure that the event is safe for everyone involved. This will include signage, hand sanitizer available in key locations, the venue increasing cleaning of high traffic areas, and our team cleaning shared equipment between uses.

Pretty Heroes will proceed as scheduled on July 18-19, 2020. We currently have no plans to change our dates as there is evidence that the containment methods will have been effective at dramatically reducing the spread of the COVID-19 virus well before then.

If a change to our original dates is warranted due to safety concerns, we will release a new statement at that time with additional information.

Please stay safe and contact Telehealth Ontario at 1-866-797-0000 if you have any symptoms of COVID-19 so that you can be assessed and treated appropriately.

If you have any specific concerns, please contact us via email at [email protected]

Sincerely,

Emily Gonsalves, Head Organizer
